WRPA Annual Conference Rotation Schedule

Current Rotation Schedule

The WRPA Annual Conference follows an established rotation among Wyoming communities. This rotation continues cyclically unless modified by Board action.

The rotation continues in this established pattern beyond 2037.

WRPA Conference Rotation Policy

  1. The board shall maintain an updated rotation list of host cities for the WRPA Annual Conference.
  2. Any changes to the rotation list are to be presented by the board to the general membership at the annual business luncheon for majority approval.
  3. Requests by agencies to be removed from the host rotation must be submitted in writing to the WRPA Board. Requests should not be less than two years from when an agency is scheduled to host a conference.

WRPA Annual Conference Site Selection Guidelines

Below are the suggested guidelines for a community wishing to host a conference.

Host Location Requirements

  1. Must be able to accommodate 150 members
  2. Must be able to seat 150 persons for the luncheon and banquet
  3. Must be able to provide a minimum of 750 square feet for exhibitors
  4. Must be able to provide three small rooms for concurrent sessions, able to seat at least 50 people each
  5. Must be able to provide a luncheon menu price range
  6. Must be able to provide a banquet menu per person price range

Room Rate Requirements

  1. Will request complimentary room for WRPA
  2. Will provide single and double room price range
  3. Conference Committees should avoid contracts requiring minimum payments or reservations

How to Join or Rejoin the Rotation

Note: Specific petition procedures for joining the rotation are not currently detailed in the WRPA Manual of Procedures. Communities interested in hosting should contact the WRPA Board of Directors to discuss requirements and procedures.

Wyoming communities not currently in the rotation may request to be added, subject to Board evaluation and membership approval as outlined in the Conference Rotation Policy above.

Basic Requirements

Communities wishing to host must demonstrate ability to meet the Annual Conference Site Selection Guidelines listed above and provide adequate local coordination support.

Communities with Previous Interest

The following locations have expressed interest or were previously in rotation:

  • Rawlins - Previously in rotation; removed due to lack of local representation
  • Powell - Expressed interest; application documentation needed
  • Douglas - Expressed interest; application documentation needed

Requirements for Host Communities

Communities wishing to host must demonstrate:

  • Local parks and recreation department support
  • Adequate conference facilities (see Conference Site Selection Guidelines)
  • Local coordination capacity
  • WRPA member representation

Spring Workshop Location

The WRPA Spring Workshop is typically held in Casper as a central location for statewide accessibility. However, smaller Wyoming communities are encouraged to petition to host this one-day event.

Spring Workshop Hosting Opportunities

The Spring Workshop provides an excellent opportunity for smaller communities that may not have the capacity to host the larger Annual Conference. Communities interested in hosting should:

  • Contact the WRPA Board to express interest
  • Demonstrate local parks and recreation support
  • Meet basic facility requirements for a one-day workshop event

This approach helps ensure broader geographic representation across Wyoming's parks and recreation community.
